Project would make the material easier to navigate, allowing users to locate items quickly. Digitization would add functionality to the way the material is used. PHYSICAL CONDITIONS OF MATERIAL AND PRESERVATION ISSUES: Please check all of the following attributes that apply, to the best of your knowledge. Please bear in mind that handwritten materials and materials printed before 1940 cannot be accurately digitized by means of scanning as currently OCR software is designed to work with laser-quality print. These items must be re-keyed, i.e., the data must be entered manually. This significantly increases the manpower needed, and thus the costs of the project. There is accurate information on the exact number of items to be digitized. There are full details available on the current storage media. The collection contains handwritten items. The collection contains materials printed before 1940. The original materials are in fragile condition. The fragility of the materials will require that surrogates (e.g., photocopies) be used for digitization. The collection primarily consists of bound printed materials. The materials primarily consist of rare/unique manuscripts. The materials primarily consist of print/text/graphics. The materials primarily consist of print/text. The materials primarily consist of graphics/photographs/slides. The materials primarily consist of audio/video materials. The collection contains materials in a digital format. Digitization is requested PRIMARILY for purposes of access to the materials. Digitization is requested PRIMARILY for purposes of preservation of the materials. Digitization is requested for purposes of BOTH preservation of and access to the materials. Project will fulfill the needs of preservation for the original (via digital surrogate). Project will fulfill the needs of "rescue digitization" by reducing handling of the original. There are options in the digital format of images and in the type of text encoding used, depending on the intended use of the materials. Images may be stored in archival quality TIFF format, which requires more storage space, or access quality JPEG format, which saves storage space but sacrifices some image quality. Because standard browsers cannot display the TIFF files, a JPEG version must be included in addition to the archival TIFF image if users are to have access. Similarly, text may be encoded using archival standard XML, or in HTML, which merely allows access and is not considered a long-term format. XML encoding adds significantly to costs, as the coding itself is more complicated, and it requires preparation of a DTD (Document Type Definition) to define the tags and stylesheets to display in a browser. If the material is text, the digitization should include both the text and an images of the actual pages of text. Images should be stored in the archival TIFF format in addition to the acess JPEG image. Text should be encoded in XML. Text should be encoded in HTML.
